Certification of documents or signatures

Documents (copies, copies, negatives, electronic documents and printouts of electronic documents) as well as signatures and initials can be certified. First of all, a distinction must be made between official and public authentication.
Official certification is based on the State Administrative Procedures Act in conjunction with the Federal Administrative Procedures Act (VwVfG) and only refers to documents whose originals were issued by an authority or whose copies are required for submission to an authority (if the issue of certified copies is official registers and archives is not reserved exclusively for other authorities). A signature or a hand sign can also be officially certified if the signed document is required for submission to an authority or other body to which it is to be submitted on the basis of a legal regulation.
The legal basis for public certification of signatures is the Civil Code. Public certification of a signature is only permitted in cases prescribed by law.
What documents are required?
You need the document to be certified and the original.
When certifying signatures or initials, proof of identity (e.g. identity card or passport) and the document on which the signature or initials are to be authenticated must be brought along.
What fees apply?
Certifications are generally subject to a fee. The competent authority will provide information about the amount of the fee.

What else should I know?
An official certification is not sufficient,
- if a public notarization or a public authentication (by notaries, courts or certain authorities, e.g. the youth welfare office) is required, or
- if the exclusive responsibility of a specific authority is given (e.g. civil status documents only from the registry office, excerpts from the real estate cadastre only from the surveying and cadastral authorities).
